Why past customers are your highest-value leads

Acquiring a new customer costs 5x–7x more than retaining an existing one. A past customer already knows your business, already trusted you enough to pay, and is dramatically more likely to buy again. The problem is most small businesses let past customers go completely silent after the job is done, then spend money trying to find new ones.

What a win-back campaign is

A win-back campaign is a message — or series of messages — that goes out to past customers who have not returned after a set period of time. For most service businesses, that threshold is 60–90 days. After 90 days without a second visit or inquiry, a customer is at risk of choosing someone else next time.

The message that works

"Hi [Name]! It has been a while since your last visit with us and we wanted to check in. Are you due for another [service]? We have some availability this week — [Booking Link]. As a returning customer, we always prioritize your scheduling."

Notice what this message does: it is personal (their name), it references what they had done, it creates mild urgency (availability this week), and it makes them feel valued (prioritized scheduling).

Timing and frequency

The first win-back message fires 90 days after the last interaction. If they do not respond, a softer second message fires 30 days later: "Just checking in — we are still here whenever you need us. [Business] — [Phone]"

Do not send more than two messages in a win-back sequence. Beyond that, you risk annoying people who have genuinely moved on. The goal is a gentle reminder, not a pressure campaign.
