What is a CRM and do I need one for my small business?

5 min read · Launch AI Group

If you are managing leads in a spreadsheet or your phone contacts, you are losing money. Here is what a CRM actually does for a local business.

The plain-English definition

CRM stands for Customer Relationship Management. In practice, it is the software that tracks every person who has ever reached out to your business — what they asked for, what conversations you had, whether they booked, whether they paid, and when to follow up with them again. Think of it as a searchable, automated version of the notes you are probably keeping in your phone or on a sticky note.

Signs you need a CRM

You need a CRM if any of these sound familiar: A lead called last week and you forgot to follow up. You are not sure which customers have paid and which have open invoices. You have no idea how many leads you got last month or how many turned into customers. You have past customers you could re-engage but no way to contact them systematically. You lose track of quotes you sent.

Every one of those scenarios is a revenue leak. A CRM closes those leaks.

What a CRM does day-to-day

A CRM logs every new lead automatically — from your website form, your Facebook page, your phone calls, your texts. Each lead gets a contact record with their name, number, email, and what they inquired about. You see the full conversation history in one place. You can set a follow-up task or a reminder for three days later. When that day comes, you get a notification to reach out.

CRM vs. spreadsheet

A spreadsheet is a snapshot. A CRM is a live system. A spreadsheet does not send you a reminder when it is time to follow up. A spreadsheet does not log a new lead the moment they fill out your web form. A spreadsheet does not tell you that a lead has not been contacted in 14 days. A CRM does all of that automatically, in the background, while you are doing other things.

What happens when you add automation on top

A CRM becomes a growth engine when automation runs inside it. New lead comes in — they get an automatic text within 90 seconds. Appointment is booked — reminders fire automatically. Job is complete — review request goes out. Customer goes quiet for 90 days — a win-back message fires. All of this runs in the background while you are running your business.
