How event companies and restaurants use automated follow-up to fill their calendar from past clients instead of paying for new ones.

The challenge unique to events and restaurants

Events and restaurants are seasonal, occasion-driven businesses. A customer books a party game truck for a birthday in June. If nothing happens between June and next February, they will search Google again for their next event — and might find someone else. The businesses that consistently fill their calendars are the ones that stay in contact between bookings.

The post-event follow-up sequence

Within 24 hours of a completed event: "Hi [Name], thank you so much for having us at [Event Type]! We hope everyone had an amazing time. Would you mind leaving us a quick Google review? It means the world to a small business like ours: [Link]"

30 days later: "Hi [Name], it was great working with you last month! Are you planning any upcoming events we can help with? We also offer referral discounts if you know someone who could use our services."

6 months later: "Hi [Name], we wanted to reach out as summer/holiday event season is coming up. We are already booking [month] dates — want us to hold a spot for you?"

Rebooking is easier than new booking

A past customer who had a great experience already trusts you. They do not need to read reviews or compare prices — they remember the service. An automated rebooking message, timed to when they are likely planning their next event, converts at 3–4x the rate of a cold lead from advertising.

Referral automation

Happy customers refer friends — but usually only when they are asked at the right moment. An automated message one week after a successful event: "If you loved your experience with us, we would be grateful if you shared our info with anyone planning an event. As a thank-you, we offer a discount on your next booking for every referral that books with us." That message, sent consistently, creates a passive referral system that generates new bookings from your existing customer base.

The annual birthday/anniversary trigger

If your business handles birthday parties, anniversary dinners, or annual celebrations, the re-engagement message practically writes itself. One year after their event, your system sends: "Hard to believe it has already been a year since [Event]! If you are planning something special again this year, we would love to be part of it. [Booking Link]" This catches the annual customers who intended to come back and just needed a reminder.
